Set up a membership plan

How to create membership plans on Xoda

To set up a membership plan:

1. Under SETTINGS, go to Plans

2. Click on the button New beside the title Plans to add a new plan.

3. On the next page enter the 'Plan Basics' details:

  • Plan Name: e.g. 2 Week Intro
  • Plan Description: e.g. 2 week new member intro offer, 50% discount
  • Plan visibility: You may toggle it on and off if you'd like the plan to be visible for anyone to book.

4. Click on Continue, then enter the Payment details.

  • Fee Schedule: Select the payment schedule for the Plan. Choose from:
    • Weekly- pay as you go
    • Fortnightly - pay as you go
    • Monthly - pay as you go go
    • once off - fixed term pack
    • once off - trial plan
    • custom
  • Term Length: (only for once off - fixed term/trial or custom)   How long will the plan stay active. 
  • Auto-renew term: (only for Custom) If enabled, plan will be renewed at the end of the term. 
  • Contract length: (optional) number of terms (for Custom only)
  • Plan Fee: Set the price for the plan depending on which fee schedule you selected. 
  • Join Fee: (optional) You may set a joining fee for the plan. 
  • Suspension Fee:  (optional) Enter a cancellation or suspension fee, if applicable.
  • Trial period (days): (optional) Enter the number of days for trial period. 
  • Start from first visit: (optionl) If this option is enabled, the plan will be activated on the date of the initial session. In other words, the plan comes into effect from the first booked class. 
  • Plan start date: (Optional) Specify the date when you want your plan to begin.
IMPORTANT: If you choose a start date, members who purchased the plan before that date will not be billed until the allocated plan start date. In other words, their billing will only commence from the specified start date. 

5. Click on 'Continue', then choose the 'Access' level: Set the access for this specific plan. You may also select a custom schedule by selecting 'Custom schedule'. 

6. Click on 'Continue', then complete the 'Classes & Services details'.

7. Click on the '+Add' button beside title 'Classes & services' to add the classes and services included.  

  • Select type: select from the following;
    • All: this will load all classes and service
    • Group class
    • Semi Private
    • PT Session
    • Other
  • Select class or service (optional): this will allow you to select specific classes or services you want to include in the plan. 
  • Credits per term (optional): it is set to unlimited by default
  • Expires: If this option is disabled, all remaining credits will not expire even after the term ends. However, if it is enabled, the credits will expire by the end of the term.
  • Access limit per day: set to unlimited by default

  • Access limit per week: set to unlimited by default

8. Click on 'Add', then 'Continue'

9. Select the proper 'Terms & conditions' for this specific plan, if applicable. 

10. Click on 'Continue'

11. Review the plan summary and if it's all set, then click on 'Finish'

The calculation of recurring debit amount: So we start with defining weekly price. Fortnightly price is 2 times the weekly price. The daily amount is the weekly price divide by 7. Yearly price is the daily amount times 365 by assuming that there are 365 days in a year (not yet account for loop year). The monthly price is yearly price divided by 12.

Deactivating a plan:

The Grandfather rule: Deactivating a plan will not impact existing members on that plan. Those members can still use the entitlements (credits) from the plan and will continue to be debited on a recurring basis according to the deactivated plans.
A deactivated plan will not appear in the plan list in the POS screen, the member registration link, the member mobile app and the public plan list will not be accessible anymore.
