As illustrated below, XODA offers a number of advanced service options to configure how a class or session will behave in terms of booking and cancellations.
Late cancellation period (formerly known as lock-out period)
If a member cancels a booking within the late cancellation period, our system can be configured to apply late cancellation penalties including: a penalty fee and or not refunding the credit to the members. These settings are adjustable at both the service level or at the individual session level.
Late cancellation penalty fee
- For members on a recurring (auto-renew) membership plans (both V0 and V1), this fee will be added to the next upcoming plan fee debit. By charging the fee on the next payment date of his or her plan, we ensure the members are always debited on the same day of the week or month. This is similar to the timing of charging suspension pro rata fee.
- For members who are not on recurring payment plans (packs or Paid In Full plans) but have a valid payment method, the late cancellation penalty fee will be debited immediately after the late cancellation. This is because there is no upcoming payments for these Paid In Full members.
- For a member who does not have an online payment method (paying CASH for example) , send a task reminder to the gym owner to charge the fee to the member via POS using CASH or EFTPOS or Bank Transfer.
No credit refund
This configuration will determine if a late booking cancellation results in credit refund or not.
No booking period
This setting can set a period of time prior to a session starting when no more bookings can be made.
Free to book
This setting allows a certain type of service and sessions to be booked without using any credits by a member. This is great for Gym Open Day use case.
