How to add a class to your booking schedule

Please note that Personal Training sessions are not exposed to the members on the public because Personal Training sessions can only be booked by the trainer on behalf of the members using the Staff web portal.
Please note that the Penalty/Cancellation Fee is not applied immediately but added to the next billing amount. When you see an increased billing amount, please do not be alarmed.
ADD THE CLASS TO YOUR BOOKING SCHEDULE
  1. Under OPERATIONS go to SCHEDULE
  2. Scroll to the bottom of the dashboard and click on the blue + button to add a class to your booking schedule
  3. A new window called “Add Program” will open where you’ll need to fill in the following details:
    1. Session Type: Choose the session type (Group Classes, Personal Training and Others)
    2. Session Name: Click on the drop down arrow to select any class you have input into your services list.
    3. Staff Name: Click on the drop down arrow to assign a staff member to the class
    4. Description: Add any notes that are important for the class, for e.g, “Advanced level only,” or “Not suitable for pregnant women,” etc.
    5. Limit: Enter the maximum number of participants. (only applicable for group classes)
    6. Room: Select the gym area or room where the class will be held (to add a new room, go to operations > profile > settings > gym facilities > edit > enter room name > click add room)
    7. Waiting List: Enter the maximum number of people who can be placed on the waiting list in case of cancellations. (only applicable for group classes)
    8. Make Private: Check this box if you’d like to make the class a private session unavailable to the general public. (only applicable for group classes). Please note private classes will not be visible on the member app to the members.
    9. Lockout Period: Set a period of time before an upcoming class where cancellation will incur a penalty fee; enter in days, hours or minutes.
    10. Enter the start/end dates and times of the class. Classes can be scheduled for multiple days by choosing the dates.
    11. Days Selection: The days of the week appear if start and end dates is more than one day. By default all the days between the start and end date are selected. Users need to click on the day to unselect. If no days are unselected on saving the class is booked for all the days
    12. Add Members: Click on the drop down arrow to add members to the class manually.
    13. Books Members Without Credits: Check this box if you’d like the option to book in members without credits.
  4. Click SAVE to complete the creation of the group class.
Note: Group Classes can also be added by navigating to OPERATIONS go to SCHEDULES. Click on Add and choose Session Type as GROUP CLASS
Please note that if you add scheduled sessions using session type of unavailable. They will not appear in the member app because they are reserved for marking a PT's calendar as unavailable for booking during certain time intervals, for example lunch break every Wed at 1 pm. Those blocked personal time are private to the PT and not shown in the member app.
Similarly, a session added as type of others will not appear in the member app because it cannot be booked and that service cannot be added to a plan. Examples applicable to the Others type is a swimming pool or sauna room which can only be booked by a staff via the staff web portal.
Recurring booking frequency limitation: Xoda currently is only able to support recurring class or PT bookings on a weekly basis. Therefore we are not able to support repeating calendar options such as a session running on the 3rd Thursday of every month or recurring fortnightly PT session.
